1. What data we collect

When you use Venuekhoj to enquire about a venue, we collect the following information:

  • Your name, phone number and email address
  • Event details: type of event, dates, guest count and city preference
  • Budget range (used internally for venue matching — never shared with venues)
  • Style preferences and special requirements you choose to share
  • Technical data: IP address at the time of LOI consent (captured server-side for legal record only)

We do not collect payment card details. All advance payments are made directly to venues via bank transfer, outside the platform.

2. How we use your data

  • To match you with the most suitable venues based on your event brief
  • To send a Letter of Intent (LOI) to shortlisted venues on your behalf — using your name and event details only, never your contact information
  • To coordinate site visit bookings between you and the venue
  • To send you updates about your enquiry via email or WhatsApp
  • To maintain a record of your consent for legal and compliance purposes

3. What we never do

  • We never sell your data to third parties or marketing platforms
  • We never share your phone number or email address with venues directly — all communication between you and venues is routed through Venuekhoj
  • We never share your budget with venues — it is used internally only for matching
  • We do not use your data for advertising or profiling beyond the venue-matching service

4. Data storage and security

Your data is stored securely in our database (Supabase, hosted in the South Asia Mumbai region). We apply row-level security to ensure each user can only access their own enquiry records when logged in.

LOI documents are stored in Cloudinary and are accessible only via a unique private URL. We do not make these documents publicly indexed.

5. Data retention

We retain your enquiry data for as long as necessary to complete your venue booking and for a reasonable period thereafter for record-keeping. You may request deletion of your data at any time by contacting us.

6. Your rights

You have the right to:

  • Request access to the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Withdraw consent for us to act as your venue search partner
